If you are reading this policy, you have landed on our form. We provide this information so you know how we process your personal data when you interact with us: for example, when you fill in the form or when you subscribe to our newsletter. The autonomous Data Controller(s) of the processing of data collected through this site is the European Federation of Cytology Societies, with registered office in Onderbergen 63 9000 Ghent (hereinafter also ‘Controller’). Why do we process your data, and when do we collect it?

BROWSING DATA
During their regular operation, computer systems and software procedures used to operate this site acquire some personal data whose transmission is implicit in using Internet communication protocols.
This category of data includes the IP addresses or domain names of the users’ computers, the URI/URL notation addresses of the resources requested, the time of the request, the method used to submit the request to the server, the size of the file obtained in response, the numerical code showing the status of the response given by the server (successful, error, etc.) and other parameters relating to the user’s operating system and computer environment.

Can we do this without your consent?
The data is necessary for internet communication and enables you to use the site (Art. 6, lett. f, GDPR).

How long do we retain this data?
Browsing data is not retained for more than seven days (except for criminal investigations by judicial authorities).

Can we do this without your consent?
In part. We collect data through technical cookies, which are useful for the site’s proper functioning and security, based on our legitimate interest (Art. 6, lett. f, GDPR). REGISTRATION FORM
If you decide to contact us via our website form, we will necessarily process your personal data, email address, phone number, profession, specialisation, institute/institution/university. If you wish, we may also process your residence/domicile data such as, country, address, city, province, postcode.

Can we do this without your consent? Yes, because we are following up on your request (Art. 6, lett. b, GDPR). However, we ask for your specific consent to send you commercial communications and communicate your data to Adria Congrex Srl (Art. 6, lett. a, GDPR).

How long do we retain this data? We retain this data for 30 days from the time the request was last sent.

IMAGES
At the bottom of the contact form, we will also ask for your specific consent to the use of your image through a particular flag, which will be equivalent to a declaration of consent to the publication and/or diffusion in any form of your images and/or audio/video recordings, acquired during the activities performed on behalf of the Data Controller, on the Company’s institutional website, via streaming, in printed media and/or on any other means of diffusion, and to the retention of the same in our archives, also noting that the purposes of such publications are of an informative/training and promotional nature. With this flag, you also declare that you know that you may revoke your consent, authorising free of charge and without a time limit, also pursuant to Art. 10 and 320 of the Italian Civil Code and Arts. 96 and 97 Italian Copyright Law of 22.04.1941 no. 633 the publication and/or diffusion in any form of the images mentioned above and video footage on any other media (e.g. websites, social media channels, printed paper, etc.), also consenting to the retention of the photos and video footage in the Company’s archives and noting that the purposes of such publications are of an informative/training and promotional nature.

How long do we retain this data?
Picture and video data will be retained until the fulfilment of the business purpose for which it was collected unless consent to its disclosure is revoked in advance.

How do we process your data?
Your data is processed using appropriate tools and procedures to ensure its security and confidentiality, and may be processed through our website and through other electronic tools (e.g., internal management) and sometimes using paper media. In addition to the Data Controller, in some cases, other subjects involved in the organisation of this Web Site (administrative staff, sales staff, system administrators, etc.) or external subjects (such as third-party technical service providers, hosting providers, IT companies, communication agencies, data entry agencies) appointed, in the hypotheses provided for by the regulations, as Data Processors by us may have access to the data. Where is your data?
The processing we do with your personal data takes place on European soil. We chose partners who would allow us to keep the data within the Union, in compliance with the requirements of the Regulations. On the other hand, your browsing data (IP address) through the installation of cookies may be transferred outside the European Union and, in particular, to the United States (for example, Google).

Who accesses your data?
Your data may be made accessible to employees and contractors of the Data Controller in their capacity as Persons in charge of processing and/or system administrators and/or other entities (for example: professional firms, consultants, software houses that provide us with management software, etc.) that perform outsourced activities on our behalf, in their capacity as external Data Processors.
In no way do we disseminate your data.

What are your rights?
As a Data Subject, you have multiple rights. For example, the right to obtain, in the cases provided for, access to your personal data and the rectification or deletion thereof or the restriction of processing concerning it or to object to processing (to find out what all your rights are, you can consult the Regulations in Articles 15 et seq). Right of complaint

Protection of children’s privacy
This website addresses a general audience; however, its services are intended for people 18 and older. We do not solicit, collect, use, or disclose personal information provided by persons under 18 online. Should we discover that we have personally collected data from a minor, we will delete it immediately.
